Event organizers can create custom waivers for their participants to agree to and sign online. This saves time during face-to-face interactions at packet pickup and/or event day, and makes waiver management a paperless process.
Typically, a participant's waiver agreement is provided at the time of registration through the online or onsite app forms. Not every participant may be registering themselves. For example, a team captain might create and fill a team in a single transaction, accounting for all team members. As another example, a person might register both themselves and their spouse to secure two entries. In such scenarios, an event organizer who is in favour of information and payment being collected at once may still want waiver signatures to be read and signed by each consenting adult.
On occasion, participants are manually added or bulk-imported into the event dashboard. Payment is collected outside of Race Roster and data entry has now been complete---but what about the waiver signature? Can such participants still be prompted to read and sign on online? Absolutely!
Below you'll learn how to make the participant dashboard prompt for a waiver signature from participants who didn't complete their own registrations.
1. Follow these instructions for the general custom waiver set-up, until step 6. Then, return to this article.
2. Select the following for Waiver acceptance permissions:
- Allow additional registrants to sign their own waiver
This will mean that for:
- any registrant in an online or onsite app transaction identified as "Someone else"
- any registrant added in manually or via bulk import
as long as the email address field has been filled in the entry,
a claim email will be sent to their email address, asking them to bring the registration into their own user account.
Once their registration is claimed and they can view it from their dashboard, they will be prompted by a red banner to agree to the waiver:
By clicking the "waiver" hyperlink, the participant will be brought into a standalone waiver agreement form:
The waiver agreement will be recorded and available to view from the participant list, as with all others.
Remember: For online and onsite app participants completing their own registrations ("Myself"), the waiver agreement step is completed as per usual, during the same transaction that their information and payment is collected.
3. Returning to the set-up, you may apply the waiver as follows:
- Require only new participants to sign waiver: Participants who register prior to the date and time of the waiver's creation will not be prompted for an agreement. Only new, future registrants are granted visibility and able to sign.
- Require all participants to sign waiver: All applicable participants, both existing and future, will be prompted to agree to the waiver. For participants who registered prior to the date and time of the waiver's creation, the participant dashboard red banner and subsequent standalone waiver will also apply.
4. Once you're satisfied with the settings, be sure to click Save or Save & exit in the bottom right corner.
Participants who were registered by someone else, manually added, or bulk-imported will now have the ability to claim their registration and agree to the waiver from their participant dashboard.
