Race Roster CRM has a tool that allows for contact merging. If your organization has two contacts reflecting the same individual, resulting from a name change or residential move, you can manually select which data you want to keep and consolidate it into a single contact. Follow the steps below.
1. From the organization dashboard, navigate to the lefthand menu and select "Contacts".
2. From the contacts search page, use the contact search bar to enter a key word common to the two contacts you wish to merge. Make sure that at least the two are visible on the page.
3. Use the "Actions" dropdown on the top right to select "Show contact merging". Then, select the two contacts using the checkboxes on the left and click the blue "Next: Maps fields" button on the bottom right.
Note: You may only merge two contacts at a time.
4. On the next page, you will find the map field chart.
- The leftmost column contains data from the first contact.
- The middle column contains data from the second contact.
- The rightmost column contains the data that will be kept in the resulting merged contact, based on your choices.
- Any rows highlighted in yellow indicate a difference in the data between the two contacts.
Use the radio buttons to select the contact's most up-to-date data, row by row. Then, click the green "Merge contacts" button.
5. On the next page, you can search for the now-merged contact. If needed, you may use the "Action" dropdown to hide the contact merging tool, or visit the merge history page to view past merges.
