How Do I Set Up Participant Limits On My Event?

For events that only offer limited registration places for their event, Race Roster's limits feature allows event organizers to specify exactly how many runners can register for the event. Once the set limit of total participants has been reached, the registration page will automatically close off to the public. Limits can also be placed on individual sub-events within the event as well. 

To learn how to set up limits on your event and understand best practices, please follow the steps below. 

1. From your event dashboard, click on settings -> limits from the lefthand side menu to open up your limits settings.

2. From your limits settings, you can set an overall limit of total participants who can register for the entire event from the overall event limit field. Once this overall limit has been reached, the registration page will be closed to the public. 

3. Limits can also be placed on individual sub-events as well. By checking the box limit specific sub-events, each individual sub-event can be given its own limit of participants allowed to register. 

If you wish to exclude the limit of a sub-event from taking places from your overall event limit, check off the setting exclude this limit from overall limit to have it omitted. 

4. If you wish to display or hide the amount of spots left for a sub-event that has limits on the event details page, enable/disable the setting hide the number of available overall and sub-event spots on the event details page as needed. 

5. Once you have configured your limits, click save from the bottom righthand corner of the page. Your event will not automatically operate within these set limits. Once the overall event limit or sub-event limit has been reached, registration will automatically close to the public. 

Best Practices When Configuring Limits 

• Access codes can be used to override limits that have been set

• When using Onsite Registration, registration will ignore any sub-event limits set

  • Ensure that any closed sub-events are not available for registration

• Person-to-person transfers will work within a full sub-event
  • The sub-event limit total is unaffected by this type of transfer
• Sub-event to sub-event transfers will not work with full sub-events 
  • The sub-event limit total IS affected by this type of transfer
